Rental Policies


3-night minimum charge between May 15th and Labor Day

2-night minimum charge all other dates

 

Down Payment

A down payment is required to guarantee your reservation ($500 on all Motorized RVs and $250 on all Travel Trailers).  Estimated charges for the trip are due in full 30 DAYS PRIOR to the pick-up date.  If today is less than 30 days from the pick-up date, full payment is due now.  We accept Cash, Personal Checks, Money Orders, VISA, MasterCard and Discover.  Personal checks are not accepted less than 14 days prior to departure.  Mail checks/forms to:  101 Irvine Loop #1306, Bismarck, ND 58504

 

Cancellation Policy

  • 30 days or more prior to pick-up: a refund of your down payment will be given less $100 processing fee.
  • 29 days or less prior to pick-up: your down payment will be forfeited.

 

Prep/Set-up Fee

A $150 Prep fee is always applicable and included in the quote. This fee includes propane fill, fresh water fill, RV toilet paper, toilet chemical and emptying of waste tanks (upon return).      

 

Pet-Friendly                 

Pets are permitted in certain RVs.  An additional $30 per pet / night and $200 Pet Security Deposit is required when bringing a pet.  If evidence of a pet is found and it was NOT disclosed at the time of reservation, you will be subject to a $30 per night fee for the entire period of your rental, along with an automatic $200 charge.

Unless you have pre-purchased our kitchen or linen kit, your rental will not be furnished with household or bedding items.  

 

Kitchen Kit (for 4) includes:  dinner plates, bowls, mugs, cups, flatware set, knives, can opener, pizza pan & cutter, measuring spoons & cups, cutting board, mixing bowl, pots & pans, spatula, ladle & big spoon, dish towels, pot holders, dish soap & sponge, coffee pot & filters and toaster.

 

Linen Kit (for 4) includes: bath towels, wash clothes, hand towels, flat sheets, fitted sheets, blankets, pillows with pillow cases.

 

Damage/Extras Deposit Authorization

We require a $500 (motorhome) or $300 (travel trailer) Damage/Extras Deposit for which we will get a Credit Card Authorization form signed at departure.  We will quickly look over the unit for any damage upon return but reserve the right to thoroughly look over the rental at a later time.  Renter will be informed of any charges that have occurred.

 

The following charges, mileage and sales tax in excess of that estimated, and the cost of repairs for damages deemed to be the customer's responsibility, will be charged from the Damage/Extras deposit authorization:

 

On-board Generator:  You get 3 FREE hours per night of rental; $3/hr for add'l hours.

 

Fuel Level:  Fuel tank is full when you pick up the motorhome and must be full when returned, otherwise $25 fill fee plus cost of fuel.

 

Free Mileage:  You get 100 FREE miles per night of rental. Cost of additional miles shown in the following example:  3-night trip gets 300 FREE miles, the next 300 miles (300-600) are billed at $.50/mile, the next 300 miles (600-900) billed at $1/mile. Anything over 900 miles billed at $2/mile.  We do not refund any unused FREE mileage, but we do refund unused PRE-PAID mileage.

 

Return Cleaning:  The unit must be clean inside and out when returned or $100 charge for interior cleaning (up to 1hrs), and $75 charge for wash.  Or SAVE by Prepaying- $100 for Interior & Exterior Cleaning.  Excessive interior or exterior grime, stains, dirt, requiring deep cleaning will be charged at our shop rate of $89/hr.  

 

NO SMOKING ALLOWED and unit should be returned odor free from smoke (including campfire smell) OR automatic $500 DEEP CLEANING FEE.

 

Insurance Coverage

Motorized Units:  The vehicle must have full coverage insurance before it leaves our lot.  You have a choice of bringing a binder listing us as additional insured through your personal insurance, OR you may purchase full coverage insurance directly through mbachoice.com.  It's $17-$30 per day, with a $1000 deductible.  The $1000 deductible will be collected at the time of departure, in the form of an additional deposit (Deductible Deposit).

 

Towable Units:  The towable unit must have full coverage insurance before it leave our lot. The liability coverage on your tow vehicle does not automatically extend to the rental unit while it is attached to your vehicle. Check with your personal insurance company to make sure. Proof of insurance on tow vehicle is always required before departure.

 

Credentials

Proper identification, a valid driver's license, current insurance card from your car and a valid Credit Card must be presented before leaving with a vehicle.

 

All Drivers Must Be 25 Years of Age and have a clean driving record

No more than one minor traffic violation or at-fault accident and NO major violations (Reckless Driving, Hit and Run, Driving while under the influence of drugs or alcohol), in the past 3 years.

 

Office Hours/Pick-up

We are open Monday - Friday from 9am - 5pm.  Saturday & Sunday by appointment only.  Generally, all vehicles will be available for pick-up between 9am and 2pm. You will be given complete operating instructions and a comprehensive walk-thru at the time of pick-up taking approximately 30min - 1 hour to complete.  Please call ahead of time to schedule your pick-up.  Pick-up/Drop-off location:  3317 Hamilton St, Unit I, Bismarck, ND 58503.

 

Delayed Pick-up

Please contact our office as early as possible if you are going to be unavoidably delayed.  Remember other customers pick-up times are affected if you are late for your pick-up.

 

Return Time

No refund will be issued if the vehicle is returned prior to the scheduled return date.  Rental units must be returned no later than 2pm.  If not returned during appointed time, you are responsible for the unit until 9am the next business day.  To assure compliance, it is necessary for us to assess a late fee of $100 and the daily rate for each day the vehicle is late.

 

It is our policy to provide our customers with on-time service.  To accomplish this, we need the cooperation of our renters to return the rental at the prescribed return time.  Later returns may cause delays in checking you in.  You should allow a minimum of 30 minutes for returning the vehicle and more if the vehicle has been damaged. 

 

Extensions

Extending your vacation is possible but not guaranteed.  You must ask permission prior to your return date and the additional nights must be paid for (usually by the credit card on file) before the extension is effective.

 

Seat Belts and Air Bags

Seat belts are provided in various seats around the motorhome.  It is very important, both for your safety and to abide by state and federal laws, that they be worn whenever the vehicle is in motion and care should be taken when choosing small individuals (especially children) to occupy those seats.

 

Hitch Use

Absolutely no towing behind motorized units is allowed unless pre-approved.

 

Use of Rear Ladder and Roof are PROHIBITED

Any violation will result in a penalty of $100 plus actual charges for repair of the rental unit.

 

Restrictions

Rental vehicles are not permitted into Mexico.

 

U.S. Military & Veteran Discount

In honor of your service to our country, we are proud to offer a 10% discount.  Military ID REQUIRED at the time of pick-up.  Discount available to: Active Duty members, Reserves, Veterans and Retirees, including spouses of the US Air Forces, Army, Navy, Marines, National Guard and Coast Guard.

  • The person named on the Reservation Application must have a valid major credit card and must be present at the time of departure.

  • All rental vehicles are subject to change. We cannot guarantee a specific vehicle will be available. You will be guaranteed a vehicle of our choosing which most closely matches the rental agreement. We will notify you if there are any changes in your reservation.

 

 

RESERVATION

To begin making a reservation, click on the "Get a Quote" button on the Home Page.  Complete all required information (including destination) then click the SUBMIT request button at the bottom of the page.  You will receive a quote via email.  You can also call our office at 701-663-2197 if you need assistance right away.

 

Your quote will consist of the following forms:

  • Rental Quotation
  • Reservation Application
  • Credit Card Down-Payment Authorization

 

The above attachments need to be completed, signed and returned to start the reservation process.

 

In order to reserve a specific vehicle, you must complete and submit the Credit Card Down Payment Authorization form.  Your credit card will be charged a $500 down payment to reserve a motorhome or a $250 down payment to reserve a Travel Trailer.

 

The vehicle must have full coverage insurance before it leaves our lot.  Please check with your personal insurance company to see if they could write an insurance binder for us.

 

PAYMENT IN FULL IS REQUIRED 30 DAYS PRIOR TO DEPARTURE AND THE INSURANCE AND OTHER REQUIRED FORMS MUST BE IN OUR OFFICE 2 WEEKS PRIOR TO DEPARTURE.
